This notice explains how GIWS handles personal information submitted through this careers website. It applies to visitors, applicants and people who contact the recruitment team.
Information we collect
We may collect account and contact details, employment history, qualifications, CVs, cover letters, portfolio or LinkedIn links, supporting documents, application answers, consent records, recruitment status, interview and offer information, messages sent through the contact form, and technical security records such as sign-in time, IP address and browser information.
How we use information
GIWS uses this information to create and secure applicant accounts, receive and evaluate applications, communicate about recruitment, arrange interviews, make and administer offers, prevent abuse, maintain audit records, comply with legal obligations, and improve the reliability of the careers service.
Who can access it
Access is limited to authorized GIWS personnel who need the information for recruitment, administration, security or legal purposes. Service providers that support hosting, email delivery or infrastructure may process limited information on GIWS's behalf under appropriate confidentiality and security duties. GIWS does not sell applicant information.
Retention
Application records and documents are kept only for as long as reasonably necessary for recruitment, recordkeeping, dispute resolution, security and applicable legal obligations. Retention may vary according to the application outcome and the nature of the record. When information is no longer required, GIWS will delete or anonymize it using reasonable measures.
Your choices and rights
You may ask GIWS to provide access to, correct or delete your personal information, or to restrict or object to certain processing where applicable. You may withdraw an active application through your applicant account. Withdrawing consent does not affect processing already carried out and may prevent GIWS from continuing the application.
Security and international access
GIWS uses access controls, private document storage, encrypted connections and operational safeguards designed to protect recruitment data. No online system can guarantee absolute security. If service providers or authorized staff access information from another country, GIWS applies safeguards appropriate to the transfer and the service involved.
